Our personal data processing policy

At Hallin Löfgren Juristbyrå AB (“HLJ”), we respect your privacy and ensure that your personal data is handled with the confidentiality and care required by the circumstances. This policy applies to you if we currently have, or previously have had, a business-related relationship with you, either as a private individual or as a representative of a company or other organisation. It also applies to you if you have visited our website, participated in any of our lectures or events, or otherwise been in contact with us.

All personal data provided to us is collected and processed. We collect and process all personal data that you provide to us, for example when you contact us by email, apply for a position with us, or register for a lecture.

  • Personal data provided to us within the scope of our assignment or created during the assignment. This may include, for example, name, personal identity number, address, email address, telephone number, employer, position, residence, assets, liabilities, family circumstances, or citizenship,

  • Information that you provide to us in connection with meetings and/or events,
  • Identification documents or background information that we have received from you or collected as part of our customer due diligence obligations under the Swedish Anti-Money Laundering Act (PTL), other mandatory legislation, or internal policies,
  • Personal data provided to us by clients or by another party on behalf of our clients, or included in material prepared within the scope of our assignment. This may include sensitive personal data or personal data relating to criminal convictions and offences, including alleged offences or reports of crime, or
  • Photographs that we take, or other information that you provide to us at our lectures, seminars, events, and/or similar gatherings.

Source of Personal Data Collection

We collect personal data that you provide to us directly, for example in connection with engaging us for an assignment, visiting our website, or through other contact you may have with us via email, telephone calls, meetings, social media, or lectures. In certain cases, we may also collect personal data from other sources, such as:

  • Personal, address, and company information from public registers such as SPAR, InfoTorg, UC, the Swedish Companies Registration Office, etc.,
  • Information regarding names and contact details from partners in connection with requested contact with us,
  • Publicly available information from authorities.

The Purpose of Processing Your Personal Data

HLJ processes personal data within the scope of our business operations and the assignments we carry out. This is done as part of our legal obligation to establish client due diligence, to enable us to perform our assignments in the best possible way, to market our business, and within the scope of our financial administration. The processing of your personal data includes the prevention of money laundering, conflict-of-interest checks, and, where applicable, credit assessments. Within the scope of our assignment or as required by law, we may need to transfer personal data to another party.

When visiting our website, information regarding how you use the website is stored, and we also use statistical tools to analyse how visitors interact with it. Such storage takes place through cookies. You may choose at any time not to allow cookies to be stored on your computer. However, please note that allowing cookies may affect the functionality and user experience of our website.

The legal bases on which we process your personal data are the performance of our agreement with you, legitimate interest, compliance with legal obligations, and consent provided by you.

Retention of Personal Data

Within the scope of the assignments we carry out for our clients, we store personal data for ten (10) years or for such longer period as may be required by law or otherwise necessary due to the nature of the assignment. With regard to personal data collected for marketing purposes, such data is stored for one (1) year from the date the information was collected or from the date we last used the information to send communications or otherwise contact you. If you no longer wish for us to contact you, you may notify us at any time, and we will then delete your personal data.

Access to Personal Data

In certain cases, we may share your personal data with third parties. This may occur in order to ensure that your personal data is processed in accordance with our policy or because it is necessary for the performance of our assignment. Such parties may include IT providers, authorities and courts, opposing parties or opposing counsel, parties involved in arranging lectures, external professional advisors or experts, other support providers, translators, and social media platforms such as LinkedIn, Facebook, and Instagram. However, we do not engage in the sale of personal data and will not share your personal data for commercial purposes without your consent.

At HLJ, we take the technical and organisational measures required to protect your personal data against unauthorised access, unauthorised use, alteration, or destruction.

In certain cases, you have the right to request that your personal data be deleted. However, there may be situations where we are legally required to retain your data, and in such cases a request for deletion cannot be fulfilled.
